Registration
How do I register for the conference?
Conference registration is now open. Please see our Registration
Page for details.
When you submit the online registration form, your registration
will be processed and confirmation documents will be sent to you via email.
When should I register?
Please register as soon as you are sure that you will attend the conference. This
will ensure that you will be sent all of the relevant documentation in good
time, that your name will be included in the published list of participants,
and that you will have a spot at the conference. Regrettably, we will have
to turn people away once the conference is fully booked. Please note,
however, that you should be certain that you will attend the conference before
you register.
What are the registration deadlines?
If you are planning to attend the conference as a standard delegate, then the
registration deadline is January 31, 2012 and the standard
registration fee is $375/delegate. However, we have a lower fee for early
registration ($325/delegate before December 15, 2011). If
space is available, we will allow delegates to register right up until the
start of the conference, but the “walk in” registration fee is
$425/delegate). Please note that registration must be complete before your
abstract submission can be considered.
I have submitted my on-line registration form via the Granlibakken Resort
website. How should I expect to receive confirmation?
All registrations will be acknowledged via email, and will include a confirmation
letter, an invoice/receipt for your registration fee and information about
final payment details.
The conference is less than two weeks away, and I haven't received my confirmation.
What should I do?
This could mean that your on-line registration submission was not
successfully received or that our confirmation email did not reach you. It
is essential that you contact the immediately to check on your registration status.
Registration Cancellations
I am not certain that I can attend the conference. Is it okay
for me to register now and then cancel later or simply to fail to attend?
No. Please do not register until you are certain you can attend.
Cancellation terms and conditions apply to your registration from the
moment you submit your registration form because we will then be holding
your place at the conference. Moreover, if you register and the conference
becomes fully booked, you will be preventing someone else from attending the
conference. Cancelation terms are given on the Registration Page of the
Granlibakken Resort website.
I have to cancel my conference registration. Can a colleague attend in
my place?
This is usually okay. However, you must inform the
and in writing
to cancel your reservation. Note that the cancellation
terms apply regardless of the reason for your cancellation. You are eligible
for a registration refund until January 31, 2012, and will be charged
a $50 administrative fee. No refunds will be offered after January 31,
2012.
I need to cancel, but it is too late to get a refund. Is it
okay for me to just not turn up at the conference?
We would strongly prefer that you inform the

of your cancellation, regardless of whether or not you are due a refund.
Payments
When do I need to pay my registration fees?
A deposit of US $100 is due at the time of registration, and your registration
fee must be paid in full by February 25, 2012.
How do I pay my registration fee?
To register, please complete the on-line registration form on the Granlibakken
Resort website with your credit card details. Confirmation
of your credit card payment along with registration confirmation will be
sent to you via email.
The registration form only has space for credit card details, but I don't
have a credit card. Can I pay another way?
We strongly recommend that you pay by credit card if possible. However,
if this is not possible, please contact directly for alternative
payment methods.
Have you received my payment?
The receipt that was sent to you via email as part of your registration confirmation
should document any payment details that we received at time of registration.
It will be marked "fully paid" if full payment has been processed
or be marked "Deposit Received" if we received your deposit of US
$100. Final full payment will then be due by February 25, 2012.
Will I receive a receipt when I arrive at the conference?
No, not automatically. Your confirmation receipt will be sent to you
via email. We may be able to provide a copy of this invoice at the registration
desk, but we would prefer that you use the emailed document. If you require
any further receipt documents, please contact the Conference Secretariat prior
to the conference.
Abstract Submissions
Can I submit an abstract now?
Yes, we are now open for abstract submissions at: http://www.hybridmethodsconference.com/abstracts.php
The abstract submission deadline is January 31, 2012.
How do I submit an abstract?
Abstracts must be submitted online using the abstract submissions system and
following the posted guidelines. Note that you must be registered for the
conference for your abstract to be considered. The system is straightforward
- you will fill out a web form, attach your abstract, and submit the information.
Your submitted abstract will be acknowledged automatically and added to the
review system. Please format your abstract exactly as recommended in the
guidelines and be careful and accurate to avoid the need for revisions. You
must input your email address accurately to receive your automatic receipt.
I have submitted my abstract, but have not received confirmation of receipt,
what should I do?
Most importantly, do not resubmit your abstract again at this stage!
There may be several reasons why you have not received your receipt. There
may be an email delay, there may have been an error in your email address,
or a spam filter may have blocked your conformation message. You should generally
receive your conformation within two hours of submission, but please wait one
day before contacting the Secretariat and checking the status of your submission.
Please note that your submission is not valid until you receive the electronic
confirmation. Please don't presume that we have received your
abstract successfully until you have received this acknowledgement.
I submitted my abstract and received my conformation, but now I realize
that I need to make a correction. Should I submit the corrected abstract again
online?
No, please do not resubmit your abstract online as this will create a duplicate
submission. Instead, please send an email to the Secretariat explaining the
revision, and attach the revised abstract. Remember to provide your abstract
reference number.
I have submitted my abstract for review and have received an electronic
receipt. What happens now?
Your abstract will be reviewed by the Conference Scientific Review
committee to determine whether it is acceptable for presentation, and to assign
the type of presentation. This can take some time, but we will definitely contact
you by March 1, 2012, and probably earlier, to tell you the details of your
presentation format.
Oral and Poster Presentations
My abstract has been accepted, but I now need to withdraw it. How do I
do this?
Please contact the Conference Secretariat by email as soon as possible so that
we can update our records and amend the conference program.
My abstract has been accepted, but I won't be able to present it at the
conference. Can it still be included in the conference abstract book?
Unfortunately, no. Only abstracts that are presented at the conference by a
registered delegate will be included in the conference program and abstract
book.
I submitted an abstract, but now I am unable to attend and present it at
the conference. Can a co-author colleague present it on my behalf?
It will probably be possible for your co-author or colleague to present your
poster or platform talk (subject to some restrictions). However, it is essential
that you inform the Conference Secretariat of the situation, provide the name
of the new presenting author, and inform Granlibakken Resort of the delegate
change.
What size should I make my poster?
Poster boards will accomodate posters no larger than 4 feet by 4 feet
(1.2 meters by 1.2 meters).
When is my oral presentation and how long should it last?
We will typically allot 15 minutes (including questions) for platform presentations
that are selected from submitted abstracts. The platform program for the
conference will be posted on our conference website by March 1, 2012, and
will list the time and duration of each presentation.
General
I want to make sure that I am kept fully informed about this conference
and sent all relevant information. What should I do?
Once you have registered for the conference, you will be on our mailing
list and will receive all of the relevant mailings. If you wish to receive
the mailings but are not yet ready to register, please join our mailing list
by emailing us through the conference website at: http://www.hybridmethodsconference.com/elist.php.
Please provide us with your full name, your institution, your mailing address,
and your email address.
Are there any group travel arrangements for the conference, official air
carriers or official travel agents?
No, we have found from experience that delegates prefer to make their own independent
travel arrangements. Note, however, that there is an option available for ground
transportation from the Reno/Tahoe Airport to the Granlibakken Resort, and
details are provided on the Granlibakken Resort Registration Page. The cost
is $80.00 per person (single rider) or $40.00 per person (2+ passengers) each
way. 7 days prior notice and prepayment are required. Transportation cancellations
or modifications received less than 24 hours prior to arrival or departure
are non-refundable.
Will the conference abstracts and program be sent to me before the meeting?
No, but the conference program will be available and updated on the conference
website. The conference abstract book and final printed program, together
with any late news items will be available for collection at the registration
desk when you arrive at the conference.
What materials will I get when I arrive at the conference?
You will receive the final printed program, the conference abstracts, and a
list of participants. You will also receive a name badge at the registration
desk, which we ask you to wear throughout the conference hours to maximize
interactions and for security purposes.
Do I need a visa to attend the conference, and if so, can the Conference
Secretariat help me with my entry visa application?
If you are unsure whether you need a visa to attend the conference, please
check with your local embassy or travel agent. If you require a visa, it is
essential that you begin the application process as soon as possible so that
you obtain your visa in time for the conference and registration deadlines.
Please note that US visa application procedures have recently become stricter
and more complex, which can delay the application process.
In most cases, we can provide a standard invitation letter to assist you with your visa application, and this should be requested from the Conference Secretariat. This invitation letter will invite you to register for the conference, but will not imply that we can provide funding or act as financial guarantee for your stay in the US. Please note that you will need to submit your own visa application to the relevant authoriy and follow up accordingly and that the Secretariat cannot enter directly into correspondence with consulates.
I am unable to attend the registration session at the start of the conference.
Can I still get my registration materials at a later stage?
Yes, the conference information and registration desk will be staffed throughout
conference hours for queries and late registration.
Skiing
Ski Resorts Near Granlibakken (price for afternoon adult lift ticket)

Granlibakken has a small ski hill for beginners, ski lessons available, and a sledding hill.
Ski Resort Overview
To give you an idea of each resort, Squaw Valley is the largest, most famous
one of the three, with all the amenities of a big resort village. The
Olympics were hosted here in 1960. It also has the most terrain. Homewood
is much smaller, with arguably the best views of Lake Tahoe. Alpine
is larger than Homewood, also offers beautiful views, and is a local’s
favorite.

Ski
rentals
You can rent skis, boots and pools at the Granlibakken Ski
Hut, open until 6pm. If
you rent for two days, the third day is free. The Ski Hut also offers
package deals for ski lessons, rentals and lift access.
Ski Storage
Granlibakken has a lockable closet to store your skis and boots if you would
like to use this for convenience.
Sacked Lunch To Go
If you wish to have Granlibakken
prepare a sacked lunch for you before you go afternoon skiing, please sign
up for this the night/day beforehand on the bulletin board outside
the conference meeting room. Lunches
will be available by noon.
Lift Tickets
Purchase discounted lift tickets at the table
hosted by Rachel during the morning coffee breaks. These can be charged
to your room. You can also purchase discounted lift tickets at the front
desk, but please be aware that these
cost slightly more, as they are discounted for the resort but not at our group
rate.
Transportation to and from the Resorts
Ski busses from Homewood, Squaw and Alpine arrive
at Granlibakken every morning at 8:30 am, 8:40 am (Squaw) and 9:30 am. The
bus stop is located outside in the covered area on the lowest level of the
main building, one floor beneath the hotel lobby/front desk.
Ski shuttles leave each resort for Granlibakken at the following times: Homewood 3:45, 4, and 4:15 pm, Squaw 4:30 pm, and Alpine 4 pm.
